Position: Annual Fund and Events Manager
Reports to: Director of Advancement
100% FTE, Preferred start date of July 1, 2019

The Bay School seeks an energetic Annual Fund and Events Manager to help plan and execute multiple Development-related functions including but not limited to managing Advancement-sponsored special events, overseeing and conducting Bay’s Annual Fund campaign, successfully executing the annual Bay Splash fundraiser, and actively contributing to a vibrant and friendly office of Advancement.
The ideal candidate will be a quick study and self-starter, enthusiastic about getting to know the school community, culture and systems; and, like the rest of the team, demonstrate a willingness to wear many hats.
The Bay School’s Advancement Office will be a team of six full-time employees, including the Director of Advancement, the Directors of Communications and Major Gifts, and the Database Manager and Advancement Assistant, and is currently served by an embedded campaign consultant. The office is responsible for all of the school’s fund-raising initiatives and works closely with the Board of Trustees, Bay faculty and staff, the Parent Guardian Association, many parent volunteers, as well as alumni and alumni parents.
Responsibilities
Annual Fund
- In concert with Director of Advancement, collaborate with active and engaged volunteer co-chairs to coordinate all aspects of Bay’s Annual Giving program for general operations. The 2019/20 goal for the program is $1.25 million
- Working with the Director of Major Gifts, manage an effective program of personal solicitation to recognize and identify opportunity and maximize donations
- Prepare and compile all solicitor training and solicitation materials
- Identify and enlist successor volunteer leadership and work with volunteers to meet fundraising and participation goals
- Develop targeted campaigns and appeals to various school constituencies
- Monitor and report program results and conduct ongoing analysis and evaluation of solicitation programs
- Coordinate cultivation and stewardship plan for Annual Fund donors and volunteers
- Promote and maximize corporate matching gifts among current and prospective donors
Database Management / Gift Acknowledgement / Reporting
- Provide oversight of the gift entry and acknowledgment process, ensuring accurate and timely processing of gifts, acknowledgments and pledge reminders through Raiser’s Edge
- Strategize use of the donor database, reporting tools, and technology platforms to support workflow and fundraising efforts
Special Events / Volunteer Support / Community Engagement
- Plan and execute Advancement-sponsored events, including the 1st Day Coffee; New Parent Dinner; Community Picnic Potluck; New-College Parents’ Care Packages Assembly; GrandFriends Day; Donor and Volunteer Appreciation Events; Bay Splash, our annual fundraiser and auction; launch and celebration events for various campaigns; and small cultivation dinners
- Assist Parent Guardian Association volunteers with events
- Attend Advancement and other school events and be a visible and engaged community member
- Assist with writing and reporting for the School’s Annual Report and magazine
The ideal candidate possesses:
- General office and strong administrative/computer skills
- Ability and enthusiasm for collaboration within a team, with inter-departmental colleagues, and with parents and students
- Excellent written and verbal communication skills
- Positive attitude and ability to demonstrate authentic enthusiasm for Bay’s precepts, students, staffulty, families, mission, programs, and dreams
- Ability to represent The Bay School ethically and professionally, while maintaining confidentiality and discretion
- Strong time management, organizational, problem-solving, and detail-oriented skills
- Ability to organize and prioritize workload in a timely manner and handle multiple deadlines
- Availability to work some nights/weekends
- Proficiency with Microsoft Office, Google tools, and fundraising databases (pref. Raiser’s Edge)
