Reports to:Executive Director of Institutional Advancement

Primary Responsibilities:Capital Campaign management, Annual Fund management, Executive support and partnership

Regular Work Schedule:Full-time: 12-month; termed through the life of the campaign

The Hamlin School seeks a hyper-executor with exceptional project management skills to manage the The Hamlin School’s Capital Campaign and Annual Fund and support the efforts of Hamlin leadership, the Capital Campaign Committee, and Annual Fund Committee.

Candidates must excel in:

Project management

  • Independently manage projects from strategy to on-time completion; exercise independent judgment in the absence of the Executive Director of Institutional Advancement (EDIA); anticipate the needs of School leadership and volunteers as they relate to the work of Advancement
  • Maintain prospect management system to track movement within the phases of the major gift cycle, create and distribute prospect management reports for volunteers and Hamlin leadership, and update documents and tracking systems based on fundraiser reports; coordinate prospect research and manage highly confidential data to effectively feed the pipeline for each phase of the Campaign
  • Plan and execute small campaign events and work in partnership with the Director of Events to plan and execute large-scale campaign events including donor receptions and all-school celebrations
  • Research, write, and produce campaign proposals to solicit support from individuals, foundations, and corporations; manage timeline for and produce required reporting for foundation and corporate gifts
  • Manage donor recognition confirmation and execute physical recognition at the end of the campaign including donor walls, named spaces, and donor reports.

Executive Support and Partnership

  • Support the EDIA, Head of School, and Board of Trustees in their efforts to complete transformational $50 million campaign; schedule meetings, cultivation opportunities, and solicitations; prepare confidential Board and committee reports as needed; prepare materials for meetings and solicitations and other tasks as assigned
  • Support EDIA in the work with Board Advancement Committee and Committee on Community; produce materials and presentations as needed; and set up, attend, and take minutes at meetings
  • Elevate the effectiveness of the Advancement office through high level support of the EDIA’s daily affairs
  • In partnership with the EDIA, execute on a strategy to achieve goals of the Capital Campaign and a comprehensive strategy to solicit support for the Annual Fund
  • In partnership with the Director of Events, develop strategy for leadership event giving including Raise the Paddle and Underwriting as needed

Volunteer Relations

  • Inspire community members with positive energy, meticulous record keeping, and clear and timely communication
  • Lead the Annual Fund Committee by recruiting and supporting volunteers, creating and maintaining accurate systems for tracking progress to goals, and proactively reporting progress to school leadership
  • Provide support to the Capital Campaign Committee; coordinate, attend, and take notes at meetings, provide briefing memos for solicitations, track donor and prospect status, and communicate effectively with volunteers

Systems Thinking and Data Management

  • Track and manage meticulously all campaign donor and gift data, pledge documentation, acknowledgements, and special stewardship for campaign gifts, pledges, and pledge payments; manage gift and pledge acknowledgement and pledge reminder processes
  • Oversee Advancement Associate’s annual fund and campaign gift entry to ensure accurate gift data in the Raiser’s Edge; oversee gift acknowledgement process to ensure personal, timely, and appropriate recognition of support; oversee monthly reconciliation with finance office

Team Collaboration

  • The Hamlin Advancement team operates with an all-hands-on-deck approach to community events, large projects, and creative problem-solving; a true love of team collaboration is essential
  • Perform other duties consistent with the above responsibilities and in conjunction with the overall goals of the Advancement Office; no task is too big or too small.

 

Requirements:

Experience

  • 3+ years of experience in fast-paced, detail-oriented work environment with a track record of success; progressive experience in fundraising and knowledge of the major gifts cycle a plus
  • Bachelor’s degree

Skills

  • Strong project management skills and ability to execute independently on tasks are essential
  • Excellent verbal and written communication skills are essential, and experience conceptualizing, writing, and coordinating advancement materials is a plus
  • Strong analytical skills and propensity for mathematics
  • Superb organization and administrative skills, including working knowledge of Word, Excel, and PowerPoint
  • Strong ability to juggle long-range strategic planning while prioritizing and completing multiple tasks simultaneously
  • Knowledge of The Raiser’s Edge preferred; willingness to learn and grow is essential
  • Extreme confidentiality is essential
