Golden Bridges School is seeking a full-time Administrative Coordinator to support the school Administration from 8am-4pm.

Reporting to the Administrative Director, the Administrative Coordinator works with the entire Administrative team to provide high-level administrative support to the school. This role primarily supports enrollment/marketing, development/finance, and general office management/reception.

The Administrative Coordinator serves as the front office receptionist and is often the first person our faculty, staff, and parents/guardians see and turn to when they have a question, the role requires quick problem-solving and a welcoming disposition.

 

Work duties require the Administrative Coordinator to promptly arrive by 8:00 am when school is in session (approximately 37 weeks a year). A more flexible schedule is possible when working from home during school breaks and over the summer.

Tasks include, but are not limited to:

Reception

  • Greet, welcome and direct students and visitors warmly and professionally
  • Answer phones/voice mail / general info email box
  • Provide student support for children visiting the office with various needs – which includes acting as a point of contact for illnesses and injuries
  • Walk students to the front/back of campus if arrival or dismissal is adjusted
  • File student accident and illness reports
  • Maintain organized, welcome front reception area

Development/Finance

  • Support logging donations, sending confirmation emails, running reports, etc.
  • Support various fundraising campaigns – processing mailings, tracking, and follow-up
  • Invoicing, invoice follow-up
  • Manage payroll
  • Assist in collecting and organizing items for the annual financial audit

Enrollment/Marketing

  • Support the enrollment process by responding to emails, collecting RSVPs for open houses, collecting/printing applications, scheduling interviews, issuing contracts, etc.
  • Online and digital marketing and photo organization
  • Create and send a weekly internal newsletter with Mailchimp
  • Help update/maintain the website

General Administrative Support

  • Provide Administrative support to Administrative Director and Administration team
  • Support special events as needed
  • Database and file support – data entry, reports, maintaining files
  • Daily attendance management
  • Morning/Afternoon traffic Duty
  • Afternoon dismissal duty
  • Materials preparation support for faculty
  • Assist with maintaining and ordering supplies
  • Update and maintain online calendars
  • Provide mail, FedEx, UPS and courier services as requested
  • Respond in-time to teacher and student needs

Requirements: 

At least one year of professional customer service experience or administrative support
Possess excellent verbal communication skills, both listening and speaking
Have a friendly, warm and welcoming professional demeanor
Be flexible, team-oriented and solutions-oriented
Extremely organized and able to be responsible for own tasks
Able to carry several projects at once
Anticipate needs of others and take measures to provide effective support
Able to keep confidentiality – sensitive financial information will be part of the position
Effective time management skills / able to demonstrate a sense of urgency with important matters
Must possess basic computer knowledge in MS Word, Excel / Gmail, Google Docs
Prefer: Mailchimp, Quickbooks, BigSIS (or other student information system experience), or an ability to learn quickly/independently
Excited about our school and mission

Spanish or other non-English language speaking (preferred)

School Overview
Golden Bridges School is a small, groundbreaking school in its 9th full school year. GBS was founded by Waldorf-trained teachers and currently operates in San Francisco’s Portola neighborhood, serving Preschool through 7th Grade, with 135 students and 25 staff members. The school is growing into a full Preschool through 8th Grade school for the 2022-2023 school year.

GBS is taking a fresh look at Waldorf education, asking what the children of today in San Francisco need from teachers and education in general. One major result of this question is the development of a robust outdoor curriculum. Each week, our Kindergarten spends two days in an indoor classroom, one day at our urban farm, and two days hiking in McLaren Park. Our grades classes are indoors for Main Lesson and some subject classes, spending additional days in large outdoor parks, at the school farm, or on field trips.  1st and 2nd grades often spend one full day a week outdoors in San Francisco’s parks. We are also dedicated to becoming an anti-racist school – committed to social justice, internally and externally – that is inclusive and welcoming to all. We incorporate both anthroposophy and social justice in our weekly faculty meetings, where we delve deeper into interrupting Euro- and white-centric curriculum to bring equitable teaching practices and anti-racist policies into the classroom and school life.  We ask that teachers and staff be interested and on a path of exploring both anthroposophy and social justice.
