Qualifications

Bachelor’s degree or, in lieu, equivalent work experience
At least 3-5 years experience in administrative support
Technical proficiency with demonstrated experience in, at a minimum, Zoom, and Google Suite (Docs, Sheets, and Slides.(
Ability to learn additional tech applications
Professional and warm phone and front desk manner
*preferred* Experience working in an educational environment
*preferred* First Aid trained (must be willing to take a basic first aid course)
*preferred* Bilingual (English and Spanish/Mandarin)

Primary Responsibilities

The Receptionist is almost always the first person our parents, students, applicants, teachers and outside vendors encounter. This person is therefore largely responsible for first impressions of the school. In addition to the Receptionist responsibilities, the role includes numerous forms of support as indicated below, for which computer skills such as word processing, data input, basic spreadsheet input, and ability to learn other applications are needed, as well as basic First Aid, and proactive in-house relationship building.

Some aspects of your role:

Answer, screen, and forward all incoming phone calls
Welcome and assist all visitors, including parents and applicants
Monitor the school gate and screen for entry
Accept and deliver all packages and mail
Manage the student/family report portal: organize, proofread, and file teachers’ narrative reports
Assist the Director of High School Placement and Division Heads with preparing and sending transcripts and other materials to admission offices
Perform basic First Aid when needed. Call 911 if/when necessary
Order and set up food for faculty meetings and other events
Assist with setup and staffing occasional evening and weekend events
Maintain a welcoming environment in the front office and lobby
Help students get to and from class when there is a late drop off or early pick up
Deliver items to students/faculty when dropped off at the front desk.
Order, inventory, and maintain front office supplies
Order all supplies for the office
Print items for teachers when they are not able or need extra help
Set up student, faculty and staff individual photo days and class pictures day with Mugsyclick Photography Co.
Assist the Head of School, Lower School, and Upper School assistants with special projects as needed
Other duties as may come up on daily basis
