Job announcement: Assistant/Associate Director of Admission

Reports to: Director of Admission and Flexible Tuition

Status. Full time, Exempt, Full Year

Start Date: July 1, 2022 (or sooner)

The Assistant/Associate Director of Admission is a member of a three-person team that prides itself on providing a personalized experience for prospective families. This position is integral to the success of the school’s recruitment and enrollment efforts.

The level of hire is determined by the experience of the applicant and the level of guidance needed to fulfill the responsibilities. The responsibilities as outlined apply to both the assistant and associate levels. In addition, the associate level is expected to have the experience to work autonomously and the ability to provide leadership in the responsibilities listed. The Associate level also expects the person to be a thought partner to the Director and provide department leadership in the absence of the director.

 

Responsibilities include but are not limited to :

Outreach/Recruitment:

  • Facilitate an impactful student admission ambassador program; coordinate and execute the training while also supervising the student
  • ambassador leadership team and student volunteers for admission events and tours
  • Provide leadership in the culture of welcome and engagement with prospective students
  • In consultation with the Director, design and coordinate an effective student visit program and revisit week program
  • In consultation with the Director, design and coordinate recruitment initiatives to meet goals, represent the school at admission events and school fairs, middle school visits, and off-campus events
  • Deliver dynamic presentations to interested families and other constituents
  • Lead school tours and speak to groups of prospective students and families
  • Utilize data to inform strategic deployment of resources
  • Develop deep knowledge of the mission and academic and co-curricular programs of Bay
  • Serve as a “brand ambassador” for the school; communicating the unique value proposition and distinctive qualities/characteristics of the school to prospective students and families
  • Understand issues of diversity, equity, and belonging within an independent school context and work to advance DEB within the admissions and enrollment process

Internal & External Relationship Building

  • Liaise and develop relationships with 8th-grade counselors, school officials, and access programs in assisting their students and families through the application process
  • Guide and support prospective students and families throughout the admission process
  • Develop and maintain strong relationships with team members; staff and faculty; parents, students, and alumni volunteers
  • Respond promptly to all calls and emails from prospective and current Bay families with warmth and a high degree of professionalism
  • Serve as an advisor to a group of Bay School students

Applicant Evaluation

  • Interview prospective students
  • Read and evaluate admission files, serve as a member of the Admission Committee in making admission recommendations to the Director
  • Provide input to the Flexible Tuition Committee in prioritizing grant candidates

Required Qualifications:

  • The assistant director level requires a minimum of 2 years of experience working in an independent high school or college admission office;
  • associate director level requires a minimum of 5 years of experience working in an independent school or college admission office;
  • ability to work a flexible schedule, including some evenings and weekends;
  • a valid and clear California driver’s license and the ability to drive self and/or students to school visits and functions away from campus;
  • ability to lift 40lbs;
  • working knowledge of Google Suite and Microsoft Office Suite, including Google Sheets and Excel;
  • experience with CRM databases; experience with Ravenna desirable;
  • ability to present to large audiences and to communicate one-on-one compellingly and authentically;
  • must be fully vaccinated against COVID-19 with an approved vaccine prior to starting work unless exempted from immunization in accordance with the law, and provide documentation confirming such immunization and/or exemption

Preferred professional qualities/abilities:

  • fluency in spoken and written Spanish
