Job Summary:

The Development Associate is a critical member of the 4-person Development and Communications team, reporting to the Director of Development and working closely with volunteers, Board members, alumni, and other faculty and staff to meet the school’s strategic goals. The ideal candidate would be detail-oriented, energetic, and a collaborative problem-solver with a sense of humor and excellent judgment.

The Development Associate is a full-time, non-exempt, twelve–month position.

 

Position Description:

The Development Associate is responsible for supporting the day-to-day operations of the Development Office at San Francisco Friends School, with an emphasis on organizing special events and managing the growing alumni program. Specific responsibilities include: administrative support for the Development Office, implementing activities, programs, services and communications that reach, serve and engage our alumni, including an annual reunion; and managing fundraising events including small-scale stewardship events and larger-scale events like our annual spring fundraiser. This position will be a support role for all-school events like Back to School Night, Winter Celebration, and Graduation.

 

Responsibilities:

Development Support (60%)

Assist fundraising activities by preparing basic marketing and communications announcements (print and digital)
Produce training materials for volunteers
Collaborate with faculty and staff to strengthen storytelling in support of fundraising efforts
Assist with ongoing administrative support within the office including: ordering supplies, tracking inventory and ordering gifts to steward donors and volunteers, assist with meeting logistics (help with scheduling and note-taking)
Assist with ongoing donor research in collaboration with the Admissions Office and Senior Admin team
Assist with data management using Raiser’s Edge
Special Events (25%)

Manage all annual Development-related fundraisers and special events (GrandFriends Day, Bue Party, Donor Dinners, etc.)
Work with other stakeholders as a point of contact for all large-scale events on campus
Coordinate with various constituencies to track and manage timelines, budgets, and requirements for each event.
Create individual timelines, and a run of show per each event and effectively share them with the appropriate audiences.
Manage vendor relationships for events.
Collaborate with the Director of Communications to prepare invitations and assist with promoting events.
Recruit and collaborate with volunteers such as alumni, parents, donors, Board members, and students.
Support all-school events led by other departments such as Back to School Night, Winter Celebration, Graduation and Year-End Celebration
Alumni Relations (15%)

Establish and build relationships with alumni students and parents
Oversee the Alumni Relations program including building and maintaining relationships with alumni students and parents through outreach, stewardship and communications.
Create and manage a small portfolio of year-round events and activities directed at alumni (and their families) to increase their connection, involvement and knowledge of the school.
Work closely with the Director of Communications on newsletters, features in our biannual magazine, and maintaining an alumni presence on social media.
Work with Associate Director of Development on alumni fundraising strategies.
Additional Responsibilities

Support the Board of Trustees and Parents Association as needed
Order and manage office supplies for the Development Office.
Organize and maintain an effective information filing and retrieval system.
Manage and provide support for school duties as assigned.
Provide administrative support to the Director of Development as needed.
Other duties as assigned
Qualifications and Experience:

Bachelor’s degree with two or more years of non-profit/fundraising experience, preferably in independent schools.
Strong computer and technical skills, including proficiency in Microsoft Word and Excel.
Experience with Raiser’s Edge is desired.
Excellent written and oral communication skills.
Physical requirements:

Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, and must occasionally lift and/or move up to 10 pounds.
