Job Summary:

The Admissions Associate will work in close collaboration with the Director of Admission in coordinating and enabling the smooth functioning of the admissions office, and supports all admission office tasks including managing prospective student and family admissions experiences, assisting with the enrollment and re-enrollment processes, coordinating logistics for admissions events and applicant visits, recruitment, marketing as well as other administrative needs. This is a critical internal and external customer-facing role, and often the first point of contact for families and other constituents seeking information about San Francisco Friends School.

 

Job Duties:

Plan and manage events to represent the school to prospective families through virtual and in-person admissions events, including weekday and evening tours, Saturday open houses, diversity events, and other programs for applicants and applicant families
Assist in preparation of admissions materials — admissions packets, admissions assessments, enrollment contracts
Provide appropriate, accurate, and timely information to applicant families, community-based organizations, and educators
Manage online application databases (Ravenna, Veracross), and other data management processes
Assure accurate, comprehensive, and up-to-date records for the admissions database
Support monolingual Spanish-speaking families throughout the application process
Send out admission surveys throughout the year, compile data from survey responses
Coordinate applicant student visits in collaboration with teachers
Coordinate teachers’ schedules and substitute coverage during applicant assessments
Collaborate with faculty, administrators, help manage parent ambassadors
Assist in coordination and implementation of outreach strategies and events
Work with the registrar to create new student files
Work with the business office on the re-enrollment process for returning families
Support the creation of the new family “facebook”
Manage and train student ambassadors for various admissions events and panels
Work with division heads to support new families and children with onboarding, orientations to school and ongoing communications
Assist with outreach and recruitment efforts, which may include representing SF Friends during school fairs, and information sessions that occur in-person, in virtual settings, as well as on and off-campus
Participate in duty schedule and attend other school events/meetings as required
Ongoing administrative support
Job Requirements:

Bachelor’s degree or equivalent, with two or more years of relevant administrative experience
Strong organization skills, including extraordinary attention to detail
Ability to multi-task across multiple projects and manage shifting priorities to meet all deadlines
Excellent interpersonal skills including patience, discretion, a sense of humor, good judgment, optimism, and the ability to stay calm and focused in a busy work environment
Excellent customer service skills in person, through email, and by phone
Excellent communication and follow-through skills
Ability to work independently and as a collaborative team member
Familiarity with Microsoft Office (Word and Excel), Google Docs, InResonance, Ravenna Veracross a plus
Preferred Skills

Bilingual Spanish/English speaker
Demonstrated enthusiasm and strong interpersonal skills to relate well with a broad range of constituents including students, faculty & staff, administration, parents, and the community
Strong team-oriented work ethic

The Admissions Associate is a full-time, non-exempt, on site, twelve–month position. Some evening and weekend hours may be required at peak times.

Physical requirements:

Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, and must occasionally lift and/or move up to 10 pounds.
