Position Description:

The Assistant Director of Development is responsible for overseeing the day-to-day operations of the development program, with a particular emphasis on annual giving, stewardship, and information systems. This is a broad based fundraising and project management position informed by a strategic partnership with the Director of Development.

The primary responsibilities of this position include fundraising responsibility for all annual giving initiatives; development and management of the department’s information systems; supporting donor stewardship and moves management; managing special events at San Francisco Friends School including our annual spring fundraising event, and assisting the Director of Development with major giving and special projects as needed.

The Assistant Director of Development will help attend to the spirit and tone of the School’s unique focus on community participation while appreciating the overall development needs of the school. The Assistant Director of Development is a key member of the four-person development and communications office, and works closely with volunteers, Board members, alumni, and other faculty and staff to meet the school’s strategic goals.

The Assistant Director of Development position is a full-time, exempt, year-round position.

Responsibilities:

Annual Fund/Fundraising

Create, manage, and implement all aspects of the annual giving program, including strategic planning and program development, goal setting and financial benchmarking, timeline planning and mailings, segmenting and messaging, and parent volunteer recruitment and cultivation.
Assist the Director of Development with the creation and implementation of both a yearly business plan and a long-range plan for charitable giving as a part of the overall development operations’ strategic planning process.
Work to enhance the culture of philanthropy through messaging, branding, and marketing of annual unrestricted giving, throughout the correspondence, solicitation materials, and scripts, print and online media, acknowledgements, regular communications, and reports.
Work closely with the Director of Development to assist in the creation of a formal Planned Giving program and manage its ongoing efforts and goals.
Stewardship

Work with the Director of Development to create and implement a comprehensive stewardship plan including ensuring gift acknowledgment processes remain relevant and are fulfilled.
Oversee and write reports to all endowed fund donors.
Assist the Director of Development in strategizing and implementing donor cultivation and stewardship events and opportunities.
Information Systems & Operations:

Participate in regular meetings and goal setting with senior leadership to ensure that reports, system objectives, and business processes are aligned with current and future goals for the department and the school.
Develop, maintain and implement systems designed to maintain the integrity and quality of the department’s data, systems, acknowledgment and gift processing procedures, and constituent information.
Coordinate daily gift processing activities including, accurate and timely processing of gift batches into the database, reviewing gift documentation, maintaining gift files, and producing gift receipts and individualized acknowledgement letters as needed.
Maintains pledge records/files; tracks outstanding pledges and produces donor-centric pledge reminders and reports as appropriate.
Maintains data and performs data hygiene functions in the donor database and ancillary systems. Including coordinating updates from campus constituencies such as the Human Resources and Registrar’s Office.
Manages the preparation and maintenance of regular reports and serves as the primary point of contact for data extraction and reporting.
Serves as a liaison with the finance office; responsible for all fiscal data managed within Development including monthly and yearly reports, audits and reconciliation, and board reports.
Special Events/Spring Fundraiser

Work closely with the facilities team, vendors, faculty, and administration to create an annual events calendar.
Work with stakeholders to create timelines, run-of-show and schedules for all special events.
Responsible for overseeing all aspects of the annual spring fundraiser, historically an auction or giving day.
Work closely with parent volunteers to produce the Blue Party (spring community event), including acting as point of contact for vendors and facilities, overseeing budgeting, software, and running event day of.
Additional Responsibilities

Assist the Director of Development in the general administration of the department, including monitoring the annual Development budget and income projections, and formulating policies and procedures for the office.
Perform additional projects as assigned by the Director of Development necessary to achieve financial and other goals of the Development Office.
Event support for Development and other events as needed.
Assist in supervising Alumni & Events Coordinator and working with them on fundraising priorities.
Qualifications and Experience:

Desire to be a part of a collaborative team committed to supporting Quaker education.
Bachelor’s degree with seven plus years of non-profit/fundraising experience, preferably in independent schools
Strong computer and technical skills, including proficiency in Microsoft Word and Excel. Experience with Raiser’s Edge is required.
Excellent written and oral communication skills.
Sense of humor, good judgment, and ability to develop and maintain effective relationships with donors, prospects, and SFFS community while maintaining appropriate confidentiality.
Demonstrated talent for managing and inspiring volunteers.
Demonstrated ability to initiate and complete multiple tasks on time with competing priorities and deadlines.
Physical requirements:

Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, and must occasionally lift and/or move up to 10 pounds.

Compensation and Benefit summary:

The full-time equivalent salary range for this position is $90,000 – $105,000. The starting salary is based upon, but not limited to, several factors that include type and years of experience, education level, and expertise.  Benefits include:  medical, dental, vision, and term life insurance of $50,000 subsidized at 100% for employees; long-term disability insurance; 403(b) defined contribution retirement plan with school matching; generous time off benefits including vacation, holiday and sick leave.
