Position Description

We are seeking an enthusiastic Program Associate who is able to work effectively with a diverse range of constituents. The Program Associate works closely with the Assistant Head of School and Director of Student Services to implement the school’s academic program and provide timely and efficient administrative support.

The ideal candidate is organized, resourceful, proactive, and will enjoy working in a school. There are also opportunities to be involved directly in the activities of the school by teaching an elective, working with an advisory group, participating in class trips, and/or substitute teaching.

Primary Duties and Responsibilities

  • Uphold the highest degree of confidentiality, discretion, and professionalism in all interactions
  • Manage the Assistant Head of School’s schedule and calendar
  • Support the Assistant Head of School with drafting presentations and other communications
  • Develop and maintain an efficient materials management system for both electronic and paper-based resources
  • Support and help coordinate meetings and events, including faculty meetings, professional development, New Faculty Orientation, Pre-Service, Back to School Nights, Professional Development Days, Academic Fair, Special Schedules, Family Conferences, and Post-Service
  • Coordinate logistics and details for Intersession, a weeklong experiential learning opportunity
  • Support and coordinate grade-level activities, field trips, and overnight trips
  • Collaborate with Registrar regarding record maintenance, mailings, and other projects
  • Coordinate substitute teachers for all absent faculty members
  • Populate and maintain multiple calendars on all platforms
  • Maintain the staff portal in the school’s Student Information System
  • Coordinate and produce narrative assessment reports utilizing the school’s assessment reporting software
  • Oversee hiring process logistics, including collecting resumes, arranging travel, and scheduling visits
  • Provide database and administrative support for online MAP Growth assessment
  • Front Desk and/or Supervision duties
  • Substitute teach for absent faculty members as needed
  • Attend occasional after-hours events such as Graduation, Back to School Nights, etc.
    Other duties as assigned by the Assistant Head of School and other administrators

Qualifications, Education, and Experience

  • Excellent communication and interpersonal skills
  • Collaborative, flexible, and supportive to colleagues; talented at developing strong working relationships with various community constituents (comfort in reaching out to tech support, vendors, and other outside providers)
  • Ability to make quick and informed decisions, take initiative, and anticipate programmatic needs
  • Outstanding organizational, time management, and prioritization skills; attention to detail; resourcefulness; and strong problem-solving skills
  • Strong technical skills, particularly with spreadsheets, word processing, and meeting software (Mac, Google Suite, MS Office, Zoom)
  • Comfort with learning new software and databases
  • Ability and willingness to work occasional nights and weekends (pre-determined each year in advance)
  • Previous experience in an academic or non-profit setting is preferred but not required
  • Bachelor’s degree preferred but not required
  • Fluency in Spanish is a plus

  • The Girls’ Middle School uses a competitive salary scale. The annual salary for this position ranges from $70,000 – 75,000 for a full-time position, commensurate with experience.
