Lick-Wilmerding High School seeks a dedicatedAdministrative Assistant to the College Counseling Office team beginning August 9, 2023. This is a one year (12 month) 60% interim position.
Job Duties:
- Serve as the first point of contact for college representatives, students, and families.
- Create a warm and welcoming environment for our students and guests.
- Respond to requests for school visits from college representatives and maintain a schedule of fall college visits (virtual and in-person).
- Manage the College Host program, including gathering information from the senior student hosts, assigning hosts to colleges, and overseeing the process.
- Coordinate the prompt mailing and submission (via postal mail and Naviance/eDocs or Scoir) of all secondary school reports, transcripts, school profiles, and recommendations for college applications, and other scholarship and summer program applications.
- Assist National Merit/Achievement Semi-Finalists with the completion of their applications; submit completed applications.
- Prepare and send senior 7th semester transcripts (January) and final transcripts (June) via postal mail and Naviance/eDocs or Scoir.
- Submit junior grade point averages and permission from parents/guardians for the appropriate students to the University of Californias Eligibility in the Local Context (ELC) program.
- Submit senior grade point averages to the California Student Aid Commission for Cal Grant purposes. (Must be approved by CSAC for this role.)
- Annually update information for the LWHS profile.
- Import student and parent data into Naviance (and/or Scoir) – follow-up with registration instructions.
- Assist in keeping the departments website updated.
- Serve as the point person for department events, including scheduling rooms, coordinating the Parent Association hospitality committee, and communicating with guests about logistics.
- Prepare department emails, postal mailings, and printed materials for college counseling presentations and workshops.
- Order and prepare necessary materials for department and events.
- Create and update various documents and data using Google Sheets, Google Docs, and Google Slides.
- Send college counseling reminders to students and parents/guardians through Naviance or Scoir.
- Prepare various Google Form surveys to gather data and feedback on various aspects of the college process.
- Participate in school-wide activities (e.g. attending Sam Mihara Day of Justice, advising clubs, attending Community Meetings, chaperoning Public Purpose Program ).
- Attend professional development conferences, workshops, and webinars.
- Collect, sort, and file department mail.
- Maintain college counseling reference library.
- Attend and assist at one weekend mock SAT/ACT as well as several evening events with families (Finding the Right College Fit, Nuts and Bolts of College Admission, etc).
- Oversee and coordinate the Advanced Placement exams in May .
- Gather, update, and publicize databases and documents regarding scholarship opportunities, internships, summer programs, fly-in programs, and more.
- Maintain and update college counseling bulletin board in the Cafeteria
- Other duties, as assigned.
Qualifications
- Bachelors degree required
- Proficiency in Google Workspace (Docs, Sheets, Slides, Forms)
- Excellent attention to detail and organization skills
- Demonstrated ability to work well with adolescents and adults
- Ability to navigate an environment that is very fast-paced at certain times of the year
- Previous work in academic institutions (experience with Blackbaud, Naviance, Scoir or College Kickstart a plus!)
- Proven ability to maintain confidentiality regarding sensitive material
- Interest in learning about colleges and the college admissions/counseling process
Salary Range: In the spirit of pay transparency we share the base salary range for this position: $25-$30 depending on the candidate’s experience and qualifications. Pay ranges at LWHS are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at LWHS, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer.
