ADVANCEMENT ASSOCIATE

Position Summary
The Advancement Associate is a vital part of the advancement team. The Advancement Associate will assist the Advancement Director in securing significant financial resources to support the school’s strategic fundraising goals. The ideal candidate is a detail-oriented, collaborative, supportive, and organized individual, with a strong ability to manage multiple projects and timelines in a fast paced environment. As the Advancement Associate you will be responsible for gift processing and provide key assistance in creating, developing, and implementing fundraising appeals and programs, events, grant writing, and volunteer management. RESPONSIBILITIES
Gift Processing and Database Management
– Process all gifts and pledges from individuals, corporations, and foundations in Blackbaud Raiser’s Edge NXT, including managing and updating constituent data, providing handling of complex gift and data-entry cases, and ensuring the integrity through accurate data entry
– Generate gift/pledge acknowledgement letters in a timely fashion
– Regularly generate and produce Raiser’s Edge NXT reports, including those requiring extensive knowledge of initiating detailed and complex queries
– Compile weekly gift deposit for Business Manager and monthly reconciliations
– Prepare and manage mailing lists, newsletter email lists
– Troubleshoot issues with Blackbaud
– Review and maintain database for record consistency and data health
Donor Communication and Events
– Assist Advancement Director in the planning, writing, execution, and implementation of annual fundraising campaigns, including the Annual Fall Fund and Benefit Luncheon
– Prepare, coordinate and implement direct mail donor segmentation of Annual Fall Fund campaign, track solicitations and gifts
– Conduct prospect research building comprehensive donor profiles and targeted communication and fundraising strategies using various research tools including NXT ResearchPoint, internet research databases and print publications
– Support the Director of Advancement with the development of targeted constituent cultivation and stewardship activities, including personalized communications for prospects and donors
– Maintain Monthly Giving Program
– Assist event planner with the planning and execution of Benefit Luncheon; exhibit exceptional project management skills, including accurate record keeping of all gifts, detailed response and guest list, maintain event budget, coordinate Greater Giving event website
– Coordinate student projects, student participation, and student logistics for the Benefit Luncheon with school liaison
Marketing and Communication
– Develop, write, and disseminate marketing and communications including the school’s Annual Report, print and email communication for annual solicitation campaigns, annual advancement brochure, and other advancement materials printed internally or externally
– Compile, design, write, and build quarterly newsletters in Constant Contact
– Develop and implement highly personalized communications for prospects and donors in collaboration with the Director of Advancement, including writing and producing proposals and stewardship reports
– Coordinate meeting agendas for the Advancement department and the Board of Directors Development Committee
– Monitor and update advancement department website pages to ensure information and photographs remain current
Grants and Foundations
– Research foundation opportunities
– Create and manage an accurate foundation/grant calendar – tracking deadlines, proposal submission and reporting requirements, coordinating timely and thorough completion and submission of interim and final reports
– Assist Advancement Director in writing clear and concise grant proposals, compiling budgets, and coordinating supporting documentation
Advancement Reporting
– Prepare monthly fundraising reports to analyze fundraising budget against actual, and prioritize upcoming projects
– Proactively generate frequent donor and gift reports requiring complex RE NXT queries
– Assist in compiling the Advancement report for the Board of Directors meetings, including giving dashboard
– Provide quarterly reports to analyze fundraising campaigns and results
General
– Maintain calendar for Development Department including all important due dates and tracking department deadlines
– Accurately maintain all documents, files, and photographs in Google drive
– Proofread letters, documents, proposals, and invitations as needed
– Assist Advancement Director in the planning and logistics of Young Professional and corporate volunteer opportunities
QUALIFICATIONS
Relevant Experience
– Bachelor’s degree, or equivalent combination of education and experience. Certifications in development are a plus
– 3 to 5 years’ experience working in a non-profit setting supporting fundraising activities
Skills and Knowledge
– Exceptional writing skills, with the ability to distill complex content into accessible language for diverse audiences, craft compelling proposals, letter writing, editing, and other communications
– Proficient in Blackbaud Raiser’s Edge NXT or similar database, including gift processing, acknowledgement, and ResearchPoint
– Highly proficient in producing reports by initiating complex database report queries
– Proficient in Excel
– Exhibit proficiency in using computer software applications
– Proficient in GoogleSuite and Microsoft applications (Google Drive, Gmail, calendar, Word, Excel, PowerPoint)
– Proficient in marketing platforms, Constant Contact, Adobe Illustrator
– Strong analytical and problem-solving abilities
– Keen attention to detail, organizational, time and project management skills
– Excellent oral and written communication
– Demonstrated experience in planning and executing events
– Working knowledge of budgeting
– Display adaptability and flexibility in working with evolving priorities, work independently to prioritize multiple projects and complete deadlines effectively
– Excel in relationship-building and interpersonal skills, fostering collaborations with individuals across the school’s departments and external partners
– Professional attitude, and have demonstrated ability to maintain confidentiality around sensitive and private data in an ethical manner
– Familiarity with non-profit data standards
– Ability to jump in where needed and enjoy working with a small team
This is a 12-month full time administrative staff position, with an annual salary commensurate with experience, education, and skills within the range of $70,000 – $80,000.
