The San Francisco Waldorf School (SFWS) was founded in 1979 and serves over 400 students across a parent-child program, Preschool, kindergarten, and first through twelfth grades. Our grade school campus (preschool  through eighth grade) is located in Pacific Heights and the high school campus is located in the West Portal neighborhood.  Both campuses are easily accessible via public transportation.

Summary:

The High School Administrative Coordinator position is a hands-on, organizationally demanding role charged with the responsibility of overseeing the daily operation of the high school.  This position encourages input and creativity, and requires responsibility for a multitude of tasks and projects.  The High School Administrative Coordinator works in partnership with the Registrar, the High School Chair, and the Administrative Director.  The position reports to the Administrative Director.

KEY RESPONSIBILITIES

Events Coordination

Responsible for coordinating faculty, staff, and volunteers to host and support all aspects of 12-15 events per school year. Events include but are not limited to:
Orientation Week
Back-to-School Night
Parent Evenings (throughout the year)
9th–12thGrade Parent/Student/teacher conferences
Open Houses
Winter Concert
Holiday Luncheon
Grandparents and Special Friends Day
Founders Night
Walkathon
Graduation (in conjunction with Graduation committee)
Dances (in conjunction with class sponsors and volunteers)
Eurythmy Troupe Performances

Communication 

Coordination and dissemination of regular communication to parents, faculty, and students
Produce Weekly Bulletin
Welcome guests and parents and act as Front Office in-person resource for questions
Produce and distribute the summer mailings, which prepare students and parents for the coming school year.  This will include block rotations and the weekly schedule (produced by the registrar) and various other forms
Create student medical list for faculty
Produce and distribute the Parent/Guardian & Student Handbook
Update areas of online parent/faculty portal (MySFWS)

Global Exchange Program

Work with the Global Exchange coordinator on the program
Become SEVIS certified and hold the Visa process for the program

Calendar

Schedule all high school events and meetings on the high school’s master calendar and coordinate dates with the grade school, admissions, and events calendars
With the Grade School Administrative Coordinator, distribute calendar information to faculty and parents

Facility Management 

Work in association with the Facilities Coordinator to manage a variety of tasks including:
Regular and special janitorial needs
Faculty and staff requests for repairs
Installations
Cabinetry
Electronic and other Equipment
Support the Registrar in room use scheduling and room assignments for meetings/classes, and coordinate with the master calendar
Manage high school facility rentals as needed.

Safety Preparedness

Work with the Administrative Director, Safety Preparedness Committee, and student team to assess school’s disaster preparedness, order needed supplies, and implement regular drills (fire, earthquake, lockdown)
Assess annually the need for intruder drills, determine the need to practice, and implement drills as deemed necessary
With Administrative Director, create annual recommendations for Board Risk Committee review
Maintain accident report files

Security

Oversee security systems in association with Facilities and IT Coordinators
Monitor and document security effectiveness and breaches with Facilities Coordinator
Work with Facility Coordinator to evaluate and recommend security needs on an ongoing basis
Manage door guard and alarm system access and keys for faculty and staff

IT Support  

Work with IT provider to coordinate technical support for faculty and staff

Miscellaneous Administrative Work

Parking and Student Driving and Parking lot management
Lockers, Student IDs
Senior Checklist: tracking senior responsibilities as they graduate, coordinating with the Registrar.
New Student Checklist – make sure freshmen and transfers are issued student IDs, handbooks, lockers, mailboxes, schedules in conjunction with the Registrar
Issue Work Permits
Order and process all textbooks
Manage cell phone policy

 

Budget Oversight

Manage administrative high school budget including office supplies, printing and reproduction, furnishings and equipment, postage, etc.

Management 

Supervise and support administrative assistant

Skills Required

  • Clear communication
  • Effective organization
  • Solid grasp of technology
  • Attention to detail
  • Interest and experience working with the public and with adolescents
  • Ability to work in a busy environment and work effectively with multiple tasks
  • Comfort with databases
  • Desktop publishing, web design and implementation are preferred.

Benefits and Compensation

This is a full-time, exempt, salaried position.  Benefits include medical, dental, and life insurance, flexible spending plans, retirement plan (employer contributions and matching after one year of employment), and tuition remission (after one year of employment) for up to two eligible dependents enrolled in our Preschool -12th Grade program.  The annual salary range is $64.5K – $68K depending on experience.    Salaries are paid on a 12-month schedule.

Work intermittently in outside weather conditions, including heat and cold
Regularly sitting or standing 4-8 hours
