Summary

San Francisco Waldorf School is looking for an Assistant Director of Finance to join the Business Office. This is a full-time, exempt, staff position reporting to the Director of Finance and Operations. The position requires managing processes and financial software, tracking budget expenses, managing payroll and tuition contracts, and use of various financial skills and insights. Key responsibilities are below.

Key responsibilities

Accounting

●      Assist with general accounting and tax reporting

●      Assist with year-end closing including year-end audit details and 990 filing

●      Post monthly journal entries to recognize deferred tuition revenues and expenses

●      Provide monthly budget reports and year-to-date budget comparisons to departments as needed for monthly review and assessment

●      Reconcile bank and investment accounts monthly

Human Resources
●      Liaise with outsourced HR firm, including regular information sharing

●      Create journal entries for monthly payroll and benefit reconciliation. Process benefit payments online – Kaiser, Principal, VSP, in coordination with OneDigital

●      Process SFHCO requests and perform quarterly reconciliations

●      Process unemployment claims

●      Retirement plan: enroll employees, submit monthly ER and EE 403(b) payroll contributions to the retirement fund and perform monthly reconciliations

●      Ensure regular review processes are followed for all employees, and hold evaluation records in personnel files

●      Process in-person I-9 documentation

●      Hold DOJ custodianship and process fingerprinting

Tuition and Financial Aid (Equitable Tuition Program)
●      Manage the enrollment and tuition contract process for new and returning students, including students of faculty and staff

●      Coordinate the integration of contract payment terms and payments with the School’s tuition management vendor (currently FACTS Management)

●      Help analyze financial aid applications, including tax forms and other financial documents

●      Ensure compliance with application requirements (submission of documentation, deadlines, etc.)

●      Monitor and collect receivables of tuition, Aftercare and After School Programs using Quickbooks, FACTS Management Inc, and ProCare Software

●      Reconcile Quickbooks regularly with AR and FACTS Management data

●      Communicate regularly with parents about tuition contract, tuition due, general billing questions, etc.

●      Maintain the Family Roster (excel sheet) with accurate data of tuitions by student / family, discounts, payment methods, etc

General
●      Prepare and submit required filings to national, state, and local governments as necessary, including but not limited to:

o       Annual Form 5500 to Department of Labor for school’s 403(b) retirement plan

o       Annual Claim for Welfare Exemption to C&C of San Francisco (Form BOE-267-A b)

o       Annual Environmental Fee Return to State of California (CDTFA-501-EF)

o       Biannual Private School Affidavit with State of California Dept of Education

o       Quarterly Use Tax

●      Field liability insurance questions: claims, COIs, travel insurance for class trips

●      Manage vendor contracts together with the Director of Finance and Operations

 

Qualifications and Experience

●      Excellent bookkeeping and accounting skills

●      Detailed experience with Quickbooks

●      Preferably familiar with FACTS Tuition Management, Blackbaud, School Admin software

●      Minimum two years of payroll processing experience

●      Knowledge of and appreciation for Waldorf education

Benefits and Compensation
This is a full-time, exempt position. Benefits include medical, dental, and life insurance, flexible spending plans, retirement plan (employer contributions and matching after one year of employment), and tuition remission (after one year of employment) for up to two eligible dependents enrolled in our Preschool -12th Grade program. The annual salary range is $75,000-$90,000 depending on experience. Salaries are paid on a 12-month schedule.

Physical Requirements and Work Environment:

●      Regularly sitting or standing 4-8 hours

●      Be able to occasionally lift 30 lbs.
