Position Title: Director of Annual Fund
Department: Advancement
Reports To: Chief Advancement Officer
FLSA Classification: Exempt
FTE (Full-Time Equivalent): 100%
Schedule of Duties: 12-Month
Salary: $90,000-$110,00 annual/salary
Position Purpose: The Director of Annual Fund is primarily responsible for planning, directing, and implementing the Annual Fund Campaign. They will also play a significant leadership role in the Annual Report, volunteer recruitment and stewardship, and other fundraising activities.
Specific Expectations for Advancement Staff: In addition to duties and essential job functions listed in job descriptions, the following responsibilities are expected of all employees in the Advancement Department:
Professional development as required and approved by your supervisor, work beyond your regular hours when required and approved by your supervisor, and attendance of, or participation in, mandatory meetings and/or events as directed by your supervisor including but not limited to the annual Director’s Days, select (mandatory) all-school masses, Annual Auction and scheduled team retreats.
All employees will be paid appropriately and according to current law. In the event you are required to work outside of your normal work schedule; non-exempt employees will receive overtime pay, as eligible.
Essential Functions
Annual Fund Campaign
• Plan, direct and implement a strategic, multi-faceted Annual Fund program with targeted approaches to Trustees, parents (new, current and past), faculty and staff, alumni, grandparents, and friends
• Recruit and train Annual Fund volunteers
• Enthusiastically and humbly support parent volunteers throughout the Annual Fund campaign and over the course of the school year as needed
• Plan and manage effective Annual Fund events (including Meet & Greets, AF Kick-Off & Volunteer Training, Gratitude Day, Volunteer Appreciation Luncheon, and Director’s Club Reception)
• Help build and maintain a comprehensive stewardship plan for all donors and volunteers
• Design and create Annual Fund collateral used by advancement staff and volunteers (in collaboration with Communications Department and the Alumni & Past Parent Engagement Manager)
• Draft annual appeal letter for each constituency and work with advancement team to ensure effective distribution, tracking, logistics, and mailing
• Prepare Annual Fund campaign reports for the advancement team, Board of Trustees and Board Committees (Advancement Committee)
• Assist in the creation and publication of the Annual Report
• Thoughtfully and strategically analyze data and review with Chief Advancement Officer
Additional Responsibilities
• Be a positive and productive member of the advancement team
• Collaborate with the advancement team on creative and thoughtful department-wide stewardship plans
• Assist with the creation and editing of advancement materials, including publications, reports and status updates
• Participate alongside the Advancement Services Team and the Finance office for gift reconciliation
• Oversee and manage summer student intern(s) as appropriate
• Leverage Chief Advancement Officer and Director of Schools for meetings, calls, letters, etc. and provide strategic and informational materials such as bios, history, and other research
• Collaborate on strategic initiatives including cultivation and stewardship of individual prospects
• Communicate with key administrators and volunteers regarding implementation of specific strategies
• Identify opportunities to engage with prospects (i.e. National Merit Scholar and athletic team achievements)
• Collaborate with the advancement team to:• Compose letters • Create invitations for various cultivation and stewardship events • Prepare talking points and remarks (as needed) for key administrators• Create and/or obtain donor awards and recognitions• Create stewardship and cultivation videos • Review, edit and update advancement website
• Use Raiser’s Edge to set strategies and track prospects
• Special projects and events as identified by the Chief Advancement Officer
Qualifications
• Minimum five years of non-profit development experience
• Demonstrated success with annual fund functions from volunteer recruitment to stewardship
• Must be able to clear a background check and history indicating fitness to work with children
• A Bachelor’s degree is required
• Passionate about being part of a team with a firm commitment to customer service and stewardship
• Excellent research, writing and editing skills
• Relationship-builder personality; energized by working collaboratively with colleagues and parent volunteers
• Experience in database management including Raiser’s Edge and Excel
• Ability to produce professional quality documents in Word, Excel, PowerPoint and Google Suite
• Results-driven approach with a bias towards action
• A track record of achieving results
• High level of professionalism (confidentiality), and willingness to “go the extra mile” to reach goals
• Proven ability at managing multiple projects and meeting deadlines
• Experience facilitating meetings and presenting information to a variety of audiences
• Strong analytic, problem-solving, and communications skills
• Outstanding organizational skills and attention to detail
• Flexibility to attend evening and/or weekend events including yearly auction
• A clear commitment to the mission of the school as articulated in the Goals and Criteria of Sacred Heart Schools
Physical Requirements and Work Environment
• View and operate a computer frequently and consistently, especially in the preparation of reports, crafting and responding to emails, viewing presentations, etc.
• Must be able to talk and hear to communicate effectively with school population and the public
• Must be able to travel safely and comfortably across 63-acre campus for a variety of events and meetings, often several in a workday
• Must be physically able to assist, when necessary, with event setup and breakdown, including lifting up to 30 lbs.
• Generally works in standard office conditions and climate
• May work in varied extreme outside weather conditions during special activities and fundraising events.
• Works in a highly stressful environment dealing with a wide variety of challenges, confidential information, deadlines and a varied and diverse array of contacts
