Accounting & HR Manager Job Description
OVERVIEW:
Based in San Francisco, The Little School is a nationally recognized, relationship-based, inclusive preschool program committed to providing individualized, quality education to young children. The Little School offers a variety of classes starting with a part-time program for 2-year-olds and continuing up to a highly regarded TK Program. The Little School community includes exceptional teachers, a hands-on administrative team, and a very active parent community.
THE OPPORTUNITY:
The Accounting & HR Manager is an important member of the Little School administrative team with primary responsibilities in the areas of financial management.
MINIMUM QUALIFICATIONS:
1. Minimum of 5 years of experience as an accountant and/or CPA level work
2. Demonstrated experience and knowledge of payroll systems, best practices
3. Demonstrated experience and knowledge of employee benefits including (but not limited to): medical, dental, retirement, and CA Labor Laws
4. Exercises professional judgment in problem-solving, using discretion, and maintaining confidentiality
5. Experience with Quickbooks Online and ADP
6. Extremely detail-oriented and precise
7. Excellent customer service skills
8. Excellent written and verbal communication skills
9. Organized and able to work independently, prioritize efficiently, and effect manage interruptions and time
10. Strong tech skills and comfort with learning new technologies
11. Excellent Google Suite and Microsoft Office skills
12. Works well with a diverse staff and school community, including displaying cultural competence and sensitivity across a broad range of individual, cultural, and societal differences
13. Preferred: Experience automating manual processes, Ravenna/Community Brands, experience with Ramp, and experience with fundraising and fundraising platforms
PHYSICAL REQUIREMENTS:
Ability to lift and/or carry up to 40lbs, sit/bend/stoop. Must complete health and safety training upon hiring and current health screenings, immunizations, proof of primary series Covid vaccination, and fingerprint clearance.
SCHEDULE, COMPENSATION, & BENEFITS:
This is a full-time, exempt position. The compensation range for this position begins at $90K per year and is dependent upon experience. Benefits include Medical, Dental, Vision, retirement, paid time off (including 5 weeks of paid school closures), professional development opportunities, and child enrollment at the school (subject to application deadlines) are also offered.
KEY RESPONSIBILITIES:
Overall role: The Accounting & HR Manager at The Little School is crucial to the successful functioning of a successful Business office. This person will be supporting day-to-day financial operations of the school, as well as accounting responsibilities a HR function and compliance.
Management and oversight: The Accounting & HR Manager is supervised by the Finance Director.
Specific responsibilities and tasks (including but not limited to):
Financial Management –
● Responsible for aspects of A/P including purchasing and managing invoices
● Manage Cash Receipts including timely deposits
● Monitor and record credit card spending, ensuring all approvals and supporting documentation are provided
● Close and balance books monthly, prepare lead schedules, and assist with the required information for audits
● Manage and oversee aspects of Tuition Billing alongside the Administrative Team, including executing enrollment contracts, setting up payment plans, and collecting tuition, including assisting families with questions and concerns on tuition billing
● Provide information requested by the Executive Director
● Process bi-monthly payroll and oversee the issuance of W2s and other required forms as indicated and assist with the annual Worker’s Comp review
● Monitor all school investments, including endowment fund and other restricted funds, and prepare timely reports as directed by the Board of Trustees
● Assist the Executive Director, Finance Director, and Board of Trustees in developing the annual operating budget
● Support the Board of Trustees, Executive Director, and Finance Director by providing financial reports and analysis
● Provide monthly budget reports and investment reports as required by the Board of Trustees
HR & GAAP Compliance –
● Responsible for the enrollment, and oversight of employee benefits
● Track employer and employee 403(b) contributions, and complete monthly 403(b) transfers online
● Point person for staff with payroll and retirement contribution questions or concerns
● Continue industry knowledge by remaining aware of new regulations, participating in educational opportunities, etc
● Effectively and clearly communicate potential financial risks in a timely manner
● Coordinate, produce, and file all tax documentation as required
Strategy & Direction –
● Collaborate with the Executive Director and Finance Director on strategic direction
● Establish and communicate critical financial measurements
● Propose action plans to ensure that annual financial objectives are attained
● Create an annual budget analysis of compensation for the Executive Director
