JOB SUMMARY
Crystal seeks a regular full-time exempt (1.0 FTE, 12-month) Associate Director of Athletics starting August 1, 2024. The Associate Director of Athletics (ADoA) works with the Director of Athletics to oversee a growing athletic program and provide leadership for Middle School (MS) Athletics and coaches. This role is responsible for the operation and supervision of MS athletic programming, including overseeing calendars and attendance, confirming games and officials, communicating with coaches and families (and players when needed), and facilitating/attending meetings. This position also plans tournaments, games, matches, trials, and other events.

Qualifications
Essential Functions
Supervise the Middle School Athletic program in coordination with the Athletic Director, Associate Head, Division Heads, Head of School, and others, including recommending policies and procedures relating to the athletic programs.
Oversees and develops the Middle School Athletics Program by:Preparing the master MS sports calendar for the academic year, synthesizing the schedules provided by the league officials and clearly communicating them to coaches, players, parents/guardians, and PAC.
Create and maintain team rosters.
Making and distributing weekly sports calendars with dismissal times.
Managing both student-athlete and coach attendance.
Making announcements at the Middle School Morning Meetings.
Report daily scores from coaches to the league website.
Confirming games with opposing teams one week prior to the contest.
Planning, developing, and scheduling Middle School tournaments, matches, games, trials, and other events, and ensuring the success of both on-campus and off-campus activities.
Secure scorekeepers for all sports (if necessary, take on scorekeeping duties)
Confirming officials on Arbiter Sports and greeting them upon arrival.
Responsible for Middle School game management: help set up for games and hold coaches accountable for facility cleanliness.
Support coaches in tracking middle school uniforms (passing out and collection).
Communicating with parents/guardians.
Ensure Crystal adherence to California Interscholastic Federation (CIF) and Central Coast Section (CCS) policies and regulations when applicable. Incorporate best practices aligned with official policies and regulations.
Serve as the liaison for Crystal MS Athletics with the league.Attend monthly WBAL MS meetings, either via Zoom or in person.
Adhering to all WBAL guidelines and policies.
Providing the league with Crystal’s team commitments and scheduling conflicts (events/in-service days/holidays, etc.) in a timely manner for each season.
Prepare MS coaches’ binders, which include all league rules, sports rules, and where to update scores.
Help the Director of Athletics set up pre-season meetings with the Sports Medicine Director (SMD) and Middle School coaches.
Oversee the use of the Middle School Athletics facility, including facility usage requests for the gym and field.
Work with the Director of Athletics, Associate Head, and Human Resources on coach contracts, required training, etc.
Coordinate with the Athletic Department regarding updates to the Athletic section of the school website and newsletters.
Make recommendations to the Athletic Director on program recommendations and enhancements.
Support 6-12 Athletic events (Gryphon Gatherings, Homecoming, etc.)
Implement and manage Crystal Athletic summer camps. Utilize all required and recommended Crystal computer applications.
Meet regularly (weekly, biweekly, or monthly) with the following people/groups:
Director of Athletics (weekly)
Coaches (weekly)
Athletic Department team (bi-weekly)
Director of Sports Medicine / Mind-Body Program (biweekly)
Associate Head for Institutional Programs & Initiatives (as needed)
Supervise, mentor, and evaluate all direct reports
Maintain confidentiality at all times

Education, Certifications, and Work-Related Experience
A minimum of a Bachelor’s degree, or an equivalent combination of education and experience
A minimum of 3-5 years of experience as an Associate, Assistant, or Athletics Director, or leading an Athletics program
Valid CPR/AED/First Aid certification (American Red Cross or American Heart Association)
Valid California driver’s license and clean driving history
Familiarity with the California Interscholastic Federation (CIF) regulations
Operational knowledge of Google applications and Gmail
Operational knowledge of applications that support athletics management programs, such as TeamSnap, Arbiter, Max Preps
Operational knowledge of MS-Word, Excel, and PowerPoint
Preferences
Prior experience in Middle School sports or working with Middle School-aged children
Prior experience working with or managing coaches
Prior experience communicating with parents/guardians
Physical Requirements and Work Environment
Able to lift and carry up to 50 pounds
Able to climb stairs
Able to load and unload materials
Able to bend, twist, stoop, crouch, squat, kneel, and work with knees bent
Stretch and lift above the head
Travel Required
Light travel between the Middle School and Upper School campuses, as needed. Attend practices and sporting events as required.

Salary and Benefits
This is a regular exempt full-time (40 hours/week), benefits-eligible, 12-month Administrative position, and the annual salary is commensurate with experience within the range of $75,000 – $130,000. The school is flexible if a 10-month position is desired; the 10-month salary band is $62,500-$110,000.
