Position Title: Admissions and Outreach Associate

Reports to: Director of Admissions (75%), Director of Advancement (25%)

Exempt, Full Time, In-Person

Salary range: $75,000-$95,000

 

General Summary

The Admissions and  Outreach Associate partners primarily with the Admissions Team and supports the Advancement Team and the Business Office to ensure that Drew continues to advance in a competitive market by delivering high-touch service and engagement to all constituents. This is an exciting opportunity for someone to work in a fast-paced independent high school setting, interact with a broad set of constituents, and collaborate with exceptional, high-impact teams. Some evening and weekend work is required. Occasional travel may also be required. This is a full-time, 12-month, exempt position.

Key responsibilities include, but are not limited to:

Admissions (75%)

  • Strategically design and manage the student visit program and revisit week program to ensure visit-to-applicant conversion grows over time.
  • Lead tours for all constituents and present at information sessions at sending schools, community organizations, fairs, and events on campus as needed.
  • Work as the liaison with Drew’s Communications team to project manage, produce, and distribute admissions marketing communications.
  • Act as the primary liaison between the school and Community Access Organizations such as SMART, A Better Chance, Breakthrough, and First Graduate to develop and cultivate strong partnerships.
  • Conduct student interviews.
  • As a key part of the Admissions team, read and assess all applicant files, and participate in the Admission Committee.
  • Recruit, lead, and train student admissions volunteers.
  • Manage online application process, troubleshooting for families when necessary.
  • Respond to all email and phone questions from families on behalf of the admissions team, and proactively reach out to families who express interest in the school to ensure all families move through the admissions process with ease.
  • Process all files, application steps, and event setup in Ravenna (Drew’s admissions platform.)
  • Prepare materials for events including, but not limited to name tags, attendance sheets, email reminders, and food and beverage orders.
  • Support operational logistics for large-scale admissions events such as Open Houses and manage small-scale admissions events.
  • Develop strong relationships with faculty and staff to help them become ambassadors for Drew and understand their role in recruiting and retaining families.

Outreach (25%)

  • Support operational logistics for springtime advancement events after the standard admissions season concludes to ensure continued community engagement.
    • Includes event management, coordinating with facilities and the tech office to ensure proper setup and breakdown, registration preparation and check-in, and serving as the primary point of contact for event-related vendors for the following key events:
      • Grandparents Day, Volunteer Appreciation event(s), Alumni Reunion, and other year-end Advancement stewardship events.
  • Assist in special outreach projects and initiatives, such as Drew’s summer programming and the implementation of Drew’s ongoing Conversation Series.
  • In partnership with the Business Office, manage the facility use rental process for outside organizations seeking to rent Drew’s facilities.

Essential Skills and Qualifications 

  • A Bachelor’s Degree is required.
  • At least 3-5 years of education or administrative experience, preferably within an independent school.
  • Experience working and connecting with students, parents/guardians, teachers, and alumni a plus (e.g. coaching, counseling, teaching.)
  • A positive outlook and genuine desire to partner with families through the admissions process.
  • Commitment to diversity, equity, inclusion, and belonging in schools.
  • Excellent and effective verbal and written communication skills. Should be able to adapt communication style to suit different audiences.
  • Experience cultivating and managing relationships and developing partnerships.
  • Meticulous organizational and project management skills with the flexibility to adapt.
  • Aptitude for technology and data management systems (e.g. Ravenna, Blackbaud, FinalSite, Mailchimp, Canva.)
  • Experience with major social media platforms.
  • Ability to maintain confidentiality and facilitate an equitable admissions experience.
  • Conversational Spanish or Mandarin preferred.
