Head-Royce’s Athletic Program is committed to excellence, competition, and positive athletic experiences. The Assistant Athletic Director (Assistant AD) works with the Director of Athletics and the Middle School Director of Athletics to maintain, organize and administer the overall interscholastic athletic program, in grades 6-12. The Assistant AD shares responsibility for the overall direction and coordination of the department. This position reports directly to the Director of Athletics and is a member of the Athletic Department Staff.

Expectations of a full-time staff member include attendance at staff and school-wide meetings when schedule allows, and service on various school committees.  This is a 12-month, 1.0 FTE, exempt position.  In addition to other tasks that may be assigned at the Director of Athletics discretion, the Assistant Director of Athletics is responsible for the following day to day activities:

Primary responsibilities include but are not limited to:

Athletic Program

Maintain database for all Head-Royce teams, coaching staff, and athletic archives and history
Maintain rosters for all teams in the MS and US
Coordination and confirmation of game schedules and officials

Send final schedules to League office, CIF Home, MaxPreps
Aid in the Admissions Open Houses (2)
Coordinate Postseason Athletic Events
Oversee Athletic Inventory and uniforms
Oversee distribution and collection of team uniforms
Collect and maintain file of uniform distributions
Oversee volleyball & basketball table worker schedule
Work with the Director of Athletics and other constituents in organization and execution of athletic awards events

Students

Oversee the welfare of and serve as an advocate for all students and student-athletes
Head coach at least 1-season of sport
Assist with the Student-Athlete Leadership Committee

Communication

Oversee Head-Royce athletics online presence (public-facing website, HRS Connect, and sports team pages)
Assist in Overseeing Head-Royce Athletics social media
Assist in weekly and daily school communications (eLines)
Produce weekly Early Dismissal list for distribution for the professional community
Maintain bulletin boards outside Athletic Office with current team schedules, rosters, standings, casual photos, news clippings, sport opportunities, etc.
Writing to parents, coaches, athletes, and other Athletic departments is a key component of this job. Strong writing skills are a must.
Proficient in word processing and communication technology (e.g. Google Docs, Email, web based applications, etc.).

Administration

Assist in administering the overall program of interscholastic athletics in the Middle School and Upper School.
Evening and weekend responsibilities throughout the school year.
Maintain directory of current Coaching staff and staff certifications
Coordinate team photos each season
Distribute, collect and maintain file of ejection policy forms
Act as liaison with Athletic Director and League Office when hosting tournaments
Work with the coaching staff in helping with administrative tasks related to specific teams
Work with the school Registrar to submit NCS Scholastic Grades for all seasons
Responsible for organizing and confirming all transportation for MS and US Athletics (bus requests, van requests, parent drivers)
Responsible for handling all van requests throughout the school, for athletic and non-athletic needs, coordinating with the business office and ensuring that coaches are cleared to drive.

Qualifications

Bachelor’s degree or similar educational/experience
Minimum 5 years experience in interscholastic athletics
CPR and First Aid certification required
Must be fully vaccinated (and boosted) against Covid-19 and show proof of negative TB test within the last four years in addition to participation in background screening.
