Director of Finance (D.O.F.)
The D.O.F. is a visible community leader who works closely with the Head of School to oversee
the wellbeing of the school’s financial position. The D.O.F. plays a major role in the life of the school and is expected to be deeply involved in overseeing the financial activities of Mulberry School. This involves ensuring that the school finances operate smoothly, effectively, and in compliance with 501(c) standards and generally accepted accounting principles.
Qualifications
· Understanding of and in agreement of the mission and goals of Mulberry School.
· Understanding of and experience with 501(c) filing practices, generally accepted accounting principles, bookkeeping and financial management requirements.
· Knowledge and understanding of relevant laws, regulations, codes, guidelines and administrative best practices related to non-profit management.
· Minimum of 10 years increasingly responsible administrative/operational positions, including at least five in a senior management role with multiple direct reports.
· Experience working in a non-profit environment or serving on a Board of Directors of a non-profit organization would be an asset.
· Strong personal integrity and a collaborative style.
· Is capable of building and sustaining productive, effective working relationships.
· Ability to work with a team and strong interpersonal skills.
· An advanced degree is required.
Responsibilities
Strategic
· Act as Director of Finance and strategic business partner to Executive leadership team.
· Assess and evaluate financial performance of organization with regard to long-term operational goals, budgets and forecasts.
· Provide insight and recommendations to both short-term and long-term growth plan of organization.
· Identify, acquire and implement systems and software to provide critical financial and operational information.
· Communicate, engage and interact with Board of Trustees, Finance Committee, Head of School and Assistant Head of School.
· Create and establish yearly financial objectives that align with the company’s plan for growth and expansion.
· In conjunction with The Head of School and Board of Trustees elect and engage consultants, auditors and investors.
· Recruit, interview and hire finance, accounting and payroll staff as required.
· Serve as a key member of executive leadership team.
· Participate in pivotal decisions as they relate to strategic initiatives and operational models.
· Implement policies, procedures and processes as deemed appropriate by the executive leadership team.
· Participate in the completion of the annual report each fiscal year
· Serve on CAIS/WASC accreditation team
· Participate in the State of the School meeting with Board Leadership annually
Finance
· Develop and administer financial administrative policies, standards and practices in coordination with the Head of School.
· Develop and administer financial systems and effective internal controls including budget and 5-year plan setting and tracking, expenditure approvals processes, record-keeping and reporting, and the preparation of accurate and timely monthly financial statements. Assure safeguarding of assets.
· Assist in capital planning and lead budgetary activities. Ensure preparation for annual financial audit.
· Provide Cost Analysis as requested from Finance Committee and Board of Trustees
· Review all receipts and disbursements.
· Prepare monthly financial statements for Board Review and participate in annual audit.
· Manage cash flow projections for the school, and advise the Head of School and Board of Trustees as to appropriate reserves and spending plans
· Complete annual tax preparations as required. Understand and ensure adherence to IRS regulations surrounding non-profit organizations and income classification.
· Complete and file quarterly Sales and Use Taxes.
· Complete the DASL and CALISBOA annual surveys.
· Research revenue generation activities, including fundraising, business development and grants applications. Prepare revenue projections and monitor against targets.
· Oversee Payables and Receivables in Quick Books and FACTS.
· Balance Monthly Bank Reconciliations and Cash Flow.
· Balance monthly FACTS Accounts Receivable account.
· Oversee purchasing and prepare instructional budgets for faculty.
· Prepare Income and expense figures on all fundraisers for the annual audit and annual report.
· Research cost saving strategies (utilities, insurance costs, etc.)
Payroll-Benefits Administration
· Prepare bi-weekly payroll
· Develop and post job descriptions for general staffing needs, as requested by Head of School
· Develop and administer personnel-related policies and practices as they pertain to payroll. Consult with Communications / Contract Administration Director to ensure legal compliance.
· Manage 401K and Health Benefit administration for all eligible employees.
· Conduct annual audit of 401K retirement plan.
· Conduct annual audit of Workers Comp.
· Health benefit audit annually or as needed
· Manage HR personnel whether outsourced or in-house employee
General
· Compliance with any and all requirements for regulatory bodies.
· Provide assistance and information for the Board of Trustees as requested.
· Provide strategic guidance and support to the Head of School as needed.
· Continue professional development as needed, being an active member of CALISBOA, attending their annual meeting in May, etc.
· Serve as non-voting Treasurer for the Board.
· Provide assistance with summer camp contracts and facility rentals as needed
· Serve on the Facilities Committee for re-negotiation of the school’s lease with Union School District, providing financial projections as needed.
· Serve on the Capital Campaign Committee, providing financial recording, as needed.
· Other duties as assigned.
Professional Development
· Complete professional development as required by the Head of School
