Phillips Brooks School (PBS) seeks an accomplished accounting professional that will learn and master the student billing system (Veracross software), our current General Ledger and Accounts Payable system (Blackbaud), and eventually (mid to late 2022) the new Veracross Accounts Payable and General Ledger system. The successful candidate will therefore implement a conversion from Blackbaud A/P and G/L to Veracross A/P and G/L.

 

This is an excellent opportunity for an accounting professional to gain experience in a system conversion and be responsible for full controllership functions, as well as to participate in supporting and learning CFO responsibilities. We seek applicants that possess the capabilities to execute CFO responsibilities and therefore be a strong candidate to move into that role in a few years.

 

Key Responsibilities

·      Manage student billing module in Veracross

·      Execute financial transactions related to the 2022-2023 returning student re-enrollment and new student enrollment process starting in early 2022

·      Manage the Blackbaud General Ledger and Accounts Payable systems

·      Reimburse employees in a timely manager with clear documentation and processes

·      Process financial transactions by strictly following school policies and GAAP

·      Interface frequently with parents and employees with a customer-service mindset while also ensuring adherence to financial best practices, PBS policies, and appropriate documentation

·      Perform payroll processing using the ADP online application, including preparing the 403(b)-retirement plan contribution spreadsheet and the payroll journal entry

·      Pay vendor and employee reimbursement invoices weekly and process these in Blackbaud and, later, Veracross

·      Pay monthly rent to Las Lomitas Elementary School District per terms of the lease

·      Perform reconciliations on PBS’s bank and investment accounts monthly

·      Close and reconcile the school’s financial books (G/L) monthly

·      Maintain the restricted funds spreadsheets and make entries to the G/L so that there is accurate accounting for unrestricted, temporarily restricted, and permanently restricted funds

·      Manage Worker’s Compensation annual audit and other regular compliance filings

·      Manage the annual audit conducted by our independent auditors at the conclusion of each fiscal year (June 30 annually)

 

Required experience

·      B.A. or B.S. in Accounting or Business Administration

·      7 years experience in small business or nonprofit accounting including 3 years at the managerial level

·      Audit firm experience may apply in lieu of some of the small business or nonprofit accounting experience.

·      CPA preferred

·      Blackbaud and/or Veracross financials experience a big plus

·      Willingness to participate in the life of the school including helping with student-related duties like drop-off, pickup, lunch supervision, and recess supervision

·      Ideally, an ability and desire to be mentored by the CFO to learn CFO functions and aspire to become a CFO in a few years.

 

Other position information

·      Reports to the Director of Finance and CFO

·      Overlap with current Controller to ensure a smooth and successful transition of responsibilities and duties, timeframe TBD
