Summary:
The Grade School Receptionist/Registrar position is a hands-on, organizationally demanding role. Excellent communication, organizational and computer/database skills are essential as well as the ability to work comfortably in a busy public environment.
The Receptionist/Registrar must be friendly, knowledgeable, outgoing, and possess a good understanding of Waldorf Education. He or she must enjoy working directly with students, parents, and teachers. The Receptionist/Registrar often deals with sensitive and personal issues and, therefore, discretion, confidentiality and objectivity are essential components of this position.
The Registrar/Receptionist is supervised by the Grade School Administrative Coordinator and works in partnership with the Grade School Faculty Chair.
This temporary role runs from January 6, 2025 through August 30, 2025, supporting a position held by an employee currently on a leave of absence.
Reception:
- Greet visitors, receive deliveries, answer parents’ questions
- Assist students and teachers as necessary
- Answer phone calls, deliver messages
- Distribute information as required
- Open daily mail
- Log collected cash or checks into tracking system
- Maintain other office functions and supplies as directed by GS Administrative Coordinator
Registrar: Organization and Maintenance of Student Records:
- Maintain student records
- Follow-up with records requests for transfers to and from SFWS
- Manage the process for 8 th grade transcripts, recommendations, and applications
- Collate class reports and manage their organization and mailing
- Work with Public Health Department regarding requirements/maintenance of medical records
- Manage summer forms via mail or email for new and returning families in collaboration with GS Admin Coordinator
- Update roster and contact information in database; run reports from database
Attendance:
- Update and print monthly attendance forms
- Monitor daily attendance; call absent children when required
Faculty Support:
- Type letters/emails for the faculty and College, as required, copies to appropriate files
- Stamp and mail correspondence as needed
- Facilitate scheduling of Teacher/Parent conferences
- Obtain drivers’ licenses and insurance information for field trips
Program Support:
- Scan and assist in maintenance of shared resources
- Notify teachers of last minute changes to After School Program
- Create sign-in sheets/rosters and assist with communications for auxiliary programs including but not limited to Camps during schools breaks and summer
First Aid/Illness:
- Administer first aid when necessary; notify parents, see that Accident/Incident Report is completed
- Administer medication when needed in accordance with California Law and guardian written instruction
- Track illness trends and reportable infectious diseases
Miscellaneous:
- Monitor Fire Drills, participate as needed in Earthquake and Shelter-in-place drills
- Support Parent Guild activities in reception as needed
Qualifications:
- Good Microsoft office skills (Word and Excel), iContact or similar email tools a plus, Blackbaud or similar database experience a plus
- Excellent proofreader and editor
Benefits and Compensation:
- $24 per hour
- This is a temporary, hourly, .8FTE to 1FTE (full-time) staff position
- Benefits include San Francisco Sick Paid Sick Leave and San Francisco Health Care Ordinance.
- Holidays are unpaid
Physical Requirements and Work Environment:
- Be able to occasionally lift to 30 lbs.
- Work intermittently in outside weather conditions, including heat and cold
- Regularly sitting or standing for 8 hours per day
FLSA Classification: Hourly Administrative; Non-Exempt from overtime
