Status: FTE 100% (non-exempt)

Position Description

We are seeking an Associate Director of Admission to be part of the three-person Admission office. The Associate Director is integral to the success of the school’s admission efforts. The Associate Director helps to develop and fulfill the admission strategy — a strategy informed by goals set by the Head of School and Board of Trustees. The Associate Director brings a strong understanding of school culture, the competitive landscape, recruitment and retention of underrepresented students in independent schools, and the use of data in informing marketing and enrollment strategies. Employing a deep knowledge of the school and exceptional communication skills, the Associate Director serves as a compelling brand ambassador to both internal and external audiences and helps to activate the school community in support of the admission/enrollment process. In executing the responsibilities of the position, the Associate Director demonstrates compassion, integrity, follow-through, creativity, humility, and cultural responsiveness. Through the admissions and enrollment process, the entire admission team looks to serve the needs of the school and the needs of the individual students and their families.

Essential Functions

Outreach/Recruitment:

 

Facilitate an impactful student admission ambassador program; manage and supervise student ambassador leadership team and student volunteers for admission events and tours
Train student body in culture of welcome and engagement with prospective students
Strategically design and coordinate an effective student visit program and revisit week program
Strategically design and coordinate recruitment initiatives to meet goals, represent the school at admission events and school fairs, school visits, and off-campus events
Lead school tours and speak to groups of prospective students and families
Utilize data to inform strategic deployment of resources
Develop deep knowledge of the mission and academic and co-curricular programs of Bay
Serve as a “brand ambassador” for the school; communicating the unique value proposition and distinctive qualities/characteristics of the school to prospective students and families
Understand issues of diversity, equity and belonging within an independent school context and work to advance DEB within the admissions and enrollment process

Internal & External Relationship Building

Liaise with 8th-grade placement counselors, school officials, and access programs to advise them on placement for their students and families
Guide and support prospective students and families throughout the admission process
Develop and maintain strong relationships with team members; staff and faculty; parent, student and alumni volunteers
Respond promptly to all calls and emails from prospective and current Bay families with warmth and a high degree of professionalism
Serve as an advisor to a group of Bay School students.

Applicant Evaluation

 

Interview prospective students
Read and evaluate admission files, serve as a member of the Admission Committee
Serve as a member of the Flexible Tuition Committee in prioritizing grant candidates

Qualifications and Experience

Required qualifications:

bachelor’s degree
a minimum of 3 years of experience working in an independent high school or college admission office;
ability to work a flexible schedule, including some evenings and weekends
a valid and clear California driver’s license and the ability to drive self and/or students to school visits and functions away from campus
ability to lift 40lbs
working knowledge of Google Suite and Microsoft Office Suite, including Google Sheets and Excel
experience with CRM databases (Ravenna)
ability to present to large audiences and to communicate one-on-one compellingly and authentically;

Preferred professional qualities/abilities:

fluency in spoken and written Spanish
an understanding of the competitive challenges of an independent school admission office;
strong orientation towards data analysis and strategic thinking
strong organizational and time management skills
strong communication skills, both written and oral, and attention to detail in both numbers and text
demonstrated dedication to anti-bias work, equity promotion, and cultural competency;

ability to maintain the confidentiality of sensitive information
