JOB ANNOUNCEMENT: Associate Director of Athletics

Reports to: Director of Athletics

Status: Full-time (100% FTE) Exempt, 12 month

Position begins: July 1, 2021

POSITION:

ASSOCIATE DIRECTOR OF ATHLETICS

Scope of Work: The Associate Director of Athletics is a key department leader, responsible for helping to build and sustain high quality athletic and activity programs that align with the Bay School’s mission and precepts. Through innovative and culturally-aligned communications, the Associate Director helps to develop, support and promote both the vision for mission-aligned physical education and competitive athletics at Bay and the community support for that vision.

 

Major Responsibilities for the Associate Director of Athletics:

● Leads the athletic department in communicating and reinforcing the mission-aligned athletic philosophy and department goals. This includes working with the admission, advancement and communications departments in designing and delivering messaging about the goals and approaches of Bay’s athletic department

● With innovation and creativity, leads the department in activating athletic spirit within the Bay community and through marketing (working with the Director of Communications and Marketing in the development and appropriate use of athletic logos/swag, collateral materials, social media) to external communities, including prospective families and coaches. Additionally:

○ works with staff and faculty so that they too can become knowledgeable ambassadors for Bay athletics and activities;

○ identifies and supports new avenues for communication for the department, such as live streaming events, blogs, team applications, etc.

○ responsible for design and coordination of existing athletic department front-facing events (e.g. Morning Meeting, Open Houses, middle school fairs, senior nights, Sports Night) as well as for developing new opportunities/events to build community

● Designs and implements student feedback for coaches

● Reviews and standardizes annual communications from coaches to parents and students

● Coaches one sport per year, with the opportunity for off-season or summer coaching

● Seeks new partnerships that support department goals (e.g. new facilities, summer programming, equipment, workshop facilitators, etc.)

● Supports department operations

● Supports the Director of Athletics in crisis management

● Serves as a thought partner for the Director of Athletics

 

Major Shared Responsibilities (Shared with the Director of Athletics):

● Orients, develops and evaluates coaches and athletic department staff. This includes developing/identifying both required and person-specific professional development, reviewing student feedback and providing yearly written, growth-oriented evaluations to coaches and department members;

● Develops metrics, assesses program quality and makes recommendations to the Associate Head of School regarding the evolution of the program as a whole as well as individual programs, and drives necessary implementation;

● Designs and conducts coaches’ trainings, regular check-ins and annual evaluation. This includes observing each coach at practices and games as well as being available for pre-or post-practice casual drop-ins;

● Meets with coaches to discuss feedback and areas of growth;

● Attends home games throughout the school year, serving as either site supervisor or as operational support. (Note: this is shared by all members of the athletic department).

● Assists department with on-site administration of all playoff home games (League, Conference, Section and/or State tournaments)

● Meets with BAY Parent Athletic Advocates and works to develop/clarify their role

● Through networking and visibility at conferences, games and other events, develops new and existing channels for coach recruitment;

● Develops summer programming that will serve the needs of current students as well as raise the profile of Bay athletics in the community;

● Knows all CIF, NCS and BAC standards and rules and is able to implement them fairly and consistently as required

● Provides input on the athletic department budget.

● Develops departmental systems and protocols that enhance department efficiency and mission-alignment.

 

Duties that may be shared or divided:

● Management and cultivation of volunteer support from students and families, including team parents.

● Planning and development of student leadership opportunities within the athletic department, including Captain’s Council

● Addressing community concerns–coach, parent, student, other ADs–

● Lead support of one or more sports per season

 

Required qualifications:

-Clear and valid California Driver’s License

-Ability to lift 50#

-Ability to work some nights and weekends

 

Professional qualities:

● A team-player who possesses strong problem-solving skills and systems thinking

● Strong organizational and communication skills (both written and oral)

● Strong ability to work effectively with diverse constituencies (employees, colleagues, students, parents, and community at large) and hold competing needs

● Experience and joy in working with teens

● Evidence of ability to take initiative, be proactive, consider multiple constituents’ interests/needs and bring projects to completion within an agreed upon timeframe

● Demonstrated commitment to diversity. equity, belonging and anti-racism

● Fluency with technology, including Google Suite with the ability to effectively employ technology to promote department efficiency, communication and organization

● Experience and skill in coaching, mentoring, supervision and management of both youth and adults

● Ability to see both the big picture and details

● Ability to seek out, receive and incorporate feedback

● Understanding of rules and regulations within conference and league

● Ability to advocate for the athletic program within and outside of the school
