Position Overview:
The Chief Financial and Operating Officer (CFOO) is responsible for the comprehensive financial and operational management of the school including the oversight, reporting, and implementation of policies and strategies established by the Head of School and the Board of Trustees. The position oversees finance, audit, flexible tuition, human resources, risk management, facilities, IT, and operating & infrastructure systems. In addition, the CFOO is a critical partner with the Head of School in leading the administrative and operational functions of the school. The CFOO is a member of the School Leadership Team (SLT) and collaborates with other members of the administration to address issues critical to the school’s ongoing success and evolution, including driving equity and inclusion in the practices, procedures, and policies of the school.
Reporting Relationships:
Reports to the Head of School. Supervises and supports the Controller, HR and Payroll Manager, Front Desk Manager, Director of Facilities, and IT Manager. Oversees outsourced food service functions.
Primary Responsibilities:
-Lead the annual budgeting process including partnering with the Head of School, Board Finance Committee Chair, and other key administrators in the preparation and oversight of the school’s annual operating budget. Maintain primary responsibility for schoolwide financial discipline.
-Create a wide range of financial reports, forecasts, and analyses, including long-range budget forecasts tied to the strategic plan.
-Implement the policies of the Board to manage the school’s reserves, investments, and endowment, and serve as primary contact with the school’s banking and investment partners.
-Keep Bay’s commitment to equity at the center of the school’s financial and operational decisions, including aligning the annual operating budget with strategic equity goals.
-Monitor cash in various accounts and invest in accordance with guidance provided by the Finance Committee and based on reserve and investment policies.
-Partner with trustees and the Head of School to organize and facilitate effective Finance, Audit & Risk, and Facilities Committee meetings of the Board. Serve as the lead administrator on the above committees. Attend all Board meetings, including making reports and presentations.
-Administer the flexible tuition program in partnership with the Head of School, Dean of Enrollment Management, Controller, and Director of Admissions in service to the mission and overarching enrollment goals.
-Lead relationship with the Audit Committee in reviewing and accepting annual financial audit and tax returns. Assist the Controller with the annual financial audit.
-Drive the ongoing implementation of financial controls and ensure the appropriate segregation of duties within the Business Office.
-Oversee the school’s HR functions, including employee benefit programs, in partnership with the HR and Payroll Manager.
-Serve as the plan administrator for the School’s retirement plans and engage the auditor firm and coordinate with staff, record keeper, and third-party administrator preparations for annual 403(b) audit.
-Oversee risk management for the institution, including ensuring the readiness of the school’s business continuity plan. Actively oversee the school’s corporate insurance policies.
-Supervise and support the Director of Facilities and IT Manager to oversee the school’s facilities and IT infrastructure, including custodial, maintenance, and technology service providers.
-Manage the ongoing execution of the Campus Master Plan including overseeing facilities renovations and new construction projects.
-Partner with the Presidio Trust to maintain an effective ongoing working relationship.
-Lead and oversee a comprehensive emergency response system to support a healthy and safe environment for all students, employees, and visitors.
-Oversee the foodservice contractor’s operations, including financial, infrastructure, and community impact.
-Attend to the overall effectiveness and professional atmosphere of the Business Office team, creating a culture of mutual support and collaboration.

-Strong Excel and PowerPoint/Keynote skills and proficiency with accounting and financial systems
-Commitment to giving and receiving feedback as a means to grow and improve;
-Thinks strategically, speaks authentically, and acts compassionately;
-Strong skills of collaboration, including the ability to work effectively with multiple constituencies (employees, colleagues, parents, students, and the community at large);
-Five or more years of demonstrated success leading a business office in not-for-profit organizations;
-Exceptional analytical and communication skills; and
-Relevant Bachelor’s degree required; related advanced degree and/or certification preferred.
