JOB DESCRIPTION:

The Carey School is seeking an Auxiliary Programs Assistant Director to oversee and actively manage the day-to-day operations of our after-school and summer programs, including staff supervision, student well-being, and logistical coordination. While assisting the Auxiliary Programs Director (APD) with long-term planning and strategy, the Assistant Director’s primary responsibility is to lead the daily execution of all auxiliary programs and assume full leadership in the APD’s absence.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

Operations Management

Serve as the primary on-site contact for staff, students, parents, and vendors in Extended Care, enrichment classes, and summer camps, ensuring smooth operations and addressing immediate needs.
Schedule staff shifts across Preschool and K-5 campuses, ensuring adequate coverage for daily operations.
Oversee supply and snack inventory, including ordering and reconciling purchases in alignment with the established budget.
Maintain accurate attendance records to ensure student safety and manage monthly billing.
Support staff in addressing and resolving student incidents in accordance with school procedures, and communicating with parents as needed.
Ensure that daily opening and closing procedures are completed in collaboration with the staff team.
Coordinate logistics for facility rentals scheduled during the November and December breaks, securing all preparations in advance.
Program Development

Communicate program updates and share photos with the school community in the weekly newsletter.
Coordinate and lead summer camp special events that enhance the program’s culture and quality.
Support the APD in monitoring and evaluating program quality and effectiveness, and assist in planning for future initiatives.
Staff Supervision and Development

Onboard new staff on systems, procedures, and best practices.
Support and observe staff, providing ongoing mentorship and feedback.
Plan and facilitate agendas for regular team meetings.
Communicate clearly with staff regarding schedules, responsibilities, and expectations.
Additional Support

Support the school with occasional classroom substituting, and lunch/recess duties as assigned.
Support the Auxiliary Programs Director with compiling the school yearbook.
REQUIRED SKILLS AND ABILITIES:

Proficient in Google Workspace; willing to learn Procare, Veracross, and other tools for communication and program management.
Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively.
Excellent interpersonal and communication skills for engaging with staff, students, parents, and vendors.
QUALIFICATIONS:

3+ years of experience working with elementary-aged children, particularly in after-school, enrichment, or camp settings.
Leadership experience focused on team development and fostering a collaborative culture.
ADDITIONAL INFORMATION:
Position Type: Full-Time, Year-Round
Hours: 40 hours per week; 10am-6pm
Pay Range: $31-36 hourly, non-exempt position
