EXECUTIVE ASSISTANT TO THE HEAD OF SCHOOL

POSITION SUMMARY

The executive assistant to the head of school provides confidential, consistent, positive, and professional support to the head of school. Possessing excellent organizational, diplomatic, writing, and oral communication skills and an ability to anticipate the needs of the office, the executive assistant is dedicated to supporting the efficiency and effectiveness of the head.

PRIMARY RESPONSIBILITIES

·      Represent and support the head of school and organization positively, efficiently, and effectively with all board, colleague, community, partner, and other constituents.
·      Efficiently and effectively manage and support a busy calendar and schedule as well as staff the offices of the head of school at both the Hillsborough and San Mateo campuses.
·      Serve as a key team member supporting the administrative leadership team, the execution of the strategic plan, and the daily operations of the entire organization for the success of the school.
·      Communicate and collaborate extensively with the administrative leadership team, the board, staff, faculty, parent leaders, partners, vendors, and the public.
·      Partner extensively with administration colleagues, including division assistants and executive assistants, to support the leadership team and success of the school in daily operations as well as in executing special projects, events, etc.
·      Coordinate and proofread board packet materials; make catering arrangements for board meetings and other special events hosted by the head of school.
·      Support new program and partner development.
·      Coordinate logistics for a high volume of calls and meetings.
·      Respond to and generate a large volume of telephone and email correspondence.
·      Ensure that confidential school information and materials are handled with excellent judgment and appropriate discretion.
·      Ensure that inquiries and initiatives are addressed with an appropriate sense of urgency and ownership.
·      Coordinate extensive events and travel, including complex special school events and trips – domestic and international.
·      Process expense reports.
·      Other duties and projects as required and/or assigned.

QUALIFICATIONS

·      Excellent interpersonal, written, and verbal communication skills.
·      Excellent organizational skills, including maintaining well-organized digital and physical files.
·      Proactive in planning, problem solving, executing, and communicating.
·      Trustworthy and loyal. Demonstrated ability to use good judgment and maintain confidentiality.

·      Proficient with MS Office Suite and a proven ability to learn and use relevant and new technology quickly.
·      5 or more years of professional experience.
·      University undergraduate (or higher) degree.

This is a 12-month, full-time exempt position with full benefits and retirement plan. Nueva School offers competitive compensation commensurate with experience.
