Windward School, a grade 7-12 college-preparatory, independent day school in vibrant West Los Angeles, seeks an administrative coordinator to join our Middle School Division Team (grades 7 & 8). Windward’s mission, as a college-preparatory school, is to challenge each student to achieve academic excellence in a nurturing, inclusive environment. The Administrative Coordinator to the Middle School supports the division’s administrative team as well as its students and families. Responsibilities include responding promptly to family and student questions by phone, email, or in person; scheduling meetings; attendance monitoring and tracking; preparation of logistics paperwork for field trips and retreats; using technological tools for data collection and dissemination; helping direct visitors on campus; supporting school wide events and activities such as Open Houses for Prospective Parents and Back to School Night as well as divisional meetings such as Monday Morning Meeting and Parent/Guardian meetings.

The ideal candidate will have excellent interpersonal, oral and written communication and organizational skills, a warm and welcoming personality, the ability to juggle multiple tasks at once, and the kindness, flexibility and sense of humor necessary to work successfully with 12-14 year old children.

Reports To: Director of Infrastructure & Risk Management

Primary Responsibilities:

●       Support the administrative needs of the Director of the Middle School Division and the overall Middle School Administrative Team as directed.

●       Welcome and assist all visitors to the Middle School Division Office including students, faculty, staff, parents, and prospective families.

●       Assist with the management of  the calendar of the Director of Middle School.

●       In collaboration with the Middle School Administrative Team, gather and organize all necessary paperwork and release forms and assist with the organization for:

o   7th Grade Retreat

o   8th Grade Retreat and 8th Grade “Minimester” trips

o   Other off-campus trips for the Middle School Division

●       Coordinate all logistics for Middle School events and meetings (i.e. RSVPs, event forms, food orders, name tags, mailings, meeting materials, etc.).

●       Oversee the attendance for the student body of the Middle School.

o   Reconcile all unexcused absences, communicating with Middle School families as necessary.

o   Alert the Middle School Team to students with excessive absences and/or tardies.

o   Manage sign-in for Middle School students coming to school late and sign-out for students who are leaving school early.

●       Collaborate with the Middle School Dean of Students to resolve attendance questions.

●       Collaborate with the Middle School Division Team to coordinate the administration of standardized testing, surveys, and other measurement tools.

●       Manage all incoming calls for the Middle School Division Division and serve as the first responder to questions.

●       Order and maintain office supplies, business cards, stationary, and other necessary items for the office through the appropriate channels.

●       Coordinate mailings as needed (USPS, FedEx, UPS).

●       Create 7th and 8th grade parent meeting packets.

●       Support the Director of Human Resources in scheduling for relevant hiring needs, including all hires being led by a member of the Middle School Administrative Team.

●       Provide administrative support as requested for summer camp

●       Provide administrative support for events for new, incoming students and parents between the time of their enrollment and the start of school.

●       In collaboration with the Associate Director of Middle School, distribute weekly reports to the parents of Middle School students who receive these updates.

●       Team with the coordinators of the Prep Division and Collegiate Division to support the overall needs of the school.

●       Other duties as assigned by the Middle School Division Director and Director of Infrastructure & Risk Management

 

Qualifications:

●      Preferred – Bachelor’s degree or 2 years of direct experience in an independent school.

●      Excellent organization, time management, attention to detail and problem solving skills.

●      Ability to be self-directed, handle multiple tasks and priorities despite interruptions, solve problems and demonstrate leadership skills within a team environment.

●      Outstanding oral and written communication and interpersonal skills.

●      Accessible, approachable and welcoming while also managing confidential information and situations with discretion, respect, and sensitivity.

●      Proficiency in Microsoft Office and Google Office; willingness to learn new systems and techniques.

●      Proven ability to work as a positive, enthusiastic member of a team.

●      Commitment to fostering a welcoming, inclusive community that embraces diversity.
